The American International School of Lusaka (AISL) is seeking dedicated and dynamic professional to fill the vacant {Admissions and Marketing Officer} position.

About the Position

This role leads student recruitment and oversees the admissions cycle, ensuring alignment with AISL’s vision, mission, and core values. The Admissions and Marketing Officer is responsible for presenting the school with clarity and professionalism to prospective families through campus visits, digital platforms, and admissions materials. The role ensures efficient admissions systems, supports strategic marketing and public relations efforts, and strengthens communication with internal and external stakeholders to support sustained enrollment growth and community engagement.

Qualifications

1. Education & Certification

A Bachelor’s Degree in Communications, Marketing, Business Administration, Public Relations, or a closely related field is required; equivalent professional experience in admissions or client engagement will be considered. Additional training or certification in customer experience, digital marketing, or data management systems will be an added advantage.

2. Professional Experience

Minimum of 3–5 years’ experience in admissions, communications, marketing, or a client-facing administrative role, with demonstrable responsibility for managing processes and stakeholder interactions. Prior experience in a school or international education environment is highly desirable, particularly with exposure to enrolment cycles, parent engagement, and student onboarding. Experience in coordinating functions, supervising support staff, or managing administrative workflows will be an added advantage.

  • Excellent written and verbal communication skills, with the ability to tailor messaging to diverse audiences including prospective families and internal stakeholders.

  • Strong organisational and administrative capability, with proven ability to establish and maintain structured, efficient systems.
  • Proficiency in digital tools and platforms, including CRM/admissions systems, databases, and Microsoft Office applications.
  • Strong interpersonal skills with a customer-service orientation and the ability to build and sustain positive relationships.
  • Ability to manage multiple priorities, work under pressure, and meet strict deadlines during peak admissions periods.
  • High attention to detail, particularly in data accuracy, documentation, and reporting.
  • Professional presence and ability to represent the school effectively in engagements with prospective families and external stakeholders.
  • Proactive, solutions-oriented approach with the ability to work collaboratively across departments. 

4. Key Responsibilities

4.1 Admissions Management

  • Manage the end-to-end admissions process, from initial enquiry through to enrolment, ensuring a seamless and positive experience for prospective families.
  • Respond to admissions enquiries in a timely and professional manner, providing accurate and relevant information.
  • Coordinate application reviews, assessments, and placement processes in collaboration with academic leadership.
  • Maintain up-to-date records of all applicants and admissions decisions.

4.2 Communications and Engagement

  • Serve as the first point of contact for prospective families, representing the school’s values and brand.
  • Develop and manage admissions-related communication materials, including emails, newsletters, and information packs.
  • Coordinate school tours, open days, and other engagement events for prospective families.
  • Support the implementation of communication strategies to enhance the school’s visibility and reputation.

4.3 Systems and Data Management

  • Maintain and update the admissions database, ensuring accuracy and completeness of applicant data.
  • Generate regular reports on admissions activity, enrollment trends, and pipeline status.
  • Ensure proper documentation and secure storage of all admissions records in line with school policies.

4.4 Enrollment and Onboarding

  • Coordinate enrollment processes and onboarding documentation.
  • Liaise with relevant departments to ensure smooth onboarding of new students and families.
  • Track enrollment confirmations and ensure timely follow-up on outstanding documentation.

4.5 Compliance and Process Improvement

  • Ensure admissions processes are aligned with school policies and procedures.
  • Review and refine admissions procedures to improve efficiency and service delivery.
  • Maintain standard operating procedures for admissions and communications functions.

4.6 Stakeholder Coordination

  • Work closely with academic, accounts, and administrative teams to ensure alignment in admissions and enrolment processes.
  • Support leadership with data and insights to inform enrollment planning and decision-making.

4.7 Events & Marketing Support

  • Coordinate logistics for admissions-related events, including open days and orientation sessions.
  • Support marketing initiatives linked to student recruitment and brand positioning.

4.8 Reporting & Analytics

  • Prepare weekly, monthly, and termly admissions reports.
  • Analyse admissions data to identify trends, conversion rates, and areas for improvement.
